Code of Conduct
The Arena Convention is built on the idea that tabletop gaming is for everyone. This code applies to all attendees, vendors, sponsors, volunteers, and staff for the full weekend.
Last updated: May 24, 2026.
Be excellent to each other
Treat every other person at the convention the way you would want to be treated. Welcome new players. Be patient with adults and kids learning their first game. Be kind to vendors and staff. The goal is a weekend everyone wants to come back to.
Family-friendly standards
This is a family event. Vendors, volunteers, and attendees are expected to keep behavior, language, and merchandise appropriate for all ages. The Arena Convention reserves the right to ask anyone to remove or cover anything (clothing, signage, merchandise, behavior) that we determine is not family-friendly. Examples of content not permitted include pornographic material, obscene gestures, foul language, and material pertaining to the occult.
Zero tolerance for harassment
Harassment of any kind is not tolerated. This includes (but is not limited to):
- Comments or jokes about race, ethnicity, religion, gender, gender identity, sexual orientation, disability, age, body size, or appearance.
- Unwelcome sexual attention, advances, comments, or contact.
- Stalking, intimidation, or following someone around the venue.
- Sustained disruption of games, panels, tournaments, or workshops.
- Photography or recording of someone after being asked to stop.
- Threats of violence, whether in person or online.
If you experience or witness harassment, find any volunteer or staff member (look for the convention badge or shirt) or email thearenaconvention@gmail.com immediately. We take every report seriously.
Cosplay and prop weapons
Costumes are welcome and encouraged. To keep everyone safe:
- No functional firearms, live ammunition, or anything that could be mistaken for a real firearm at distance.
- Prop weapons (foam, wood, plastic) must remain peace-bonded while inside the venue. Any prop edges must be dulled.
- No live blades.
- Costume does not equal consent. Asking before taking a photo is required.
Convention staff may inspect any prop and ask you to check it at the front desk if it doesn't meet these requirements.
Photography and recording
You can take personal photos and videos for non-commercial use throughout the venue, with the following limits:
- Always ask before photographing identifiable individuals, especially children.
- If someone asks you to stop or delete a photo, stop or delete it.
- Do not photograph or record inside restrooms or any backstage / staff-only area.
- Commercial photography (press, streaming, professional shoots) requires advance approval. Email us before the event.
Substances
The Arena Convention is a sober event. No outside food or drink is permitted in the venue. No alcohol or recreational drugs are allowed inside the venue. Attendees visibly intoxicated will be asked to leave without refund.
Reporting and consequences
If you experience or witness a violation of this code, report it to any volunteer or staff member in person, or email thearenaconvention@gmail.com. Reports are kept confidential.
Depending on severity, consequences include a verbal warning, ejection from the convention without refund, a ban from future Arena Convention events, and (where applicable) referral to law enforcement. Vendors and sponsors who violate this code are subject to immediate removal from the floor.
Accessibility and inclusion
We want everyone to enjoy the weekend. The Mountain View Event Center is wheelchair accessible. If you have accessibility needs or questions, email thearenaconvention@gmail.com at least two weeks before the event so we can accommodate you. We will do our best.
Agreement
Purchasing a ticket, vending, sponsoring, volunteering, or otherwise attending The Arena Convention constitutes agreement to this code. Thanks for helping us build a great event.
